Emailing Changes for Gmail SMTP Server (Last updated
6/8/2022)
Effective May 30, 2022, Google implemented changes to drop support for
the option to "allow less secure apps" to send emails via the Gmail SMTP
server. This option is what allowed third party programs like the Quantum
Project Manager to send emails directly through the Google SMTP server using
basic authentication (Gmail user id and password). If you have this option enabled
on your Gmail account, you should have been notified by Google recently
about this change. Consequently, effective
5/30/2022, you can no longer use the connection type of SSL with the server
name smtp.gmail.com and your Gmail account and password
in the Quantum Project Manager email options settings.
This only affects the Quantum Project Manager mass emailing option
(invitation to bid), Letters/Emails from the main menu, or any communication
document where you send email directly via the CC/Email tab and the send via
email button. These features use the email options settings and send mail
directly to the SMTP server specified. This change DOES NOT affect anyone creating PDF/RTF/Word files
and then emailing them through the Microsoft Outlook Windows client
application or other email programs.
If you are affected by this change, instead of using your Gmail account
password, you can setup an App Password
on your Google account if your Google account permits this.
Try following these steps:
1. Sign in to your Google Account on the Google website. 2. Select
Security. 3. Under "How you sign in to Google," select App Passwords. You may
need to sign in again. If you don’t have the App Passwords option, it might
be because: - 2-Step Verification is not set up
for your account. - 2-Step Verification is only
set up for security keys. - Your account is
through work, school, or other organization. -
You turned on Advanced Protection. You can also search on "app password"
then select the result for "App passwords" in the security section. 4. At the bottom
where it says "To create a new app specific password, type a name for it
below...", enter "Quantum Project Manager" and then click Create.
5. You will be given an App Password. The App Password is the 16-character
code in the yellow bar on the screen. Write this down or copy/paste it.
6. Click Done. 7. On the email options screen in the Quantum Project
Manager version 20.0a or later,
use the new connection type of TLS, mail server name smtp.gmail.com, and
port 587. Use your Gmail account name and email address and enter the App
Password (without any spaces) as the password.
Another alternative is to use any other email server that supports SMTP
and relay. We have added support for the Office 365 SMTP server in version
